In Day Off, permission to view reports depends on the permissions assigned to each role. The same applies to exporting reports.
Who Has Permission to View Reports
Only users who are granted the appropriate permissions can:
- View reports
- Export reports
By default, this access is typically available to:
- Admins (full access to all reports and exports)
- Custom roles with reporting permissions enabled
How to Grant Permission to View Reports
Admins can give reporting access to other users through a custom role:
- Go to Settings & integrations → Security.
- Open Permissions and click Add permission group, or edit an existing group.
- Enable the reporting permissions the role needs, then click Save.
- Go to People → Employees, open the employee’s profile, select the role, and click Save.
For more detail, see how to create roles and access levels.
Who Usually Needs Report Access
Every company is different. However, these people often need reports:
- HR teams who track balances and prepare payroll data.
- Managers who plan coverage for their team.
- External accountants or auditors who only need to look, not change. A view-only role works well here.
Keep Report Data Secure
Reports contain personal employee data, so share access with care. A good rule is the principle of least privilege: give each person only what they need for their job. Also, review roles regularly and remove access when someone changes position. Once the right people have access, they can export reports from the web platform.
What If I Cannot See Reports?
If the Reports page is missing from your menu, your role probably does not include reporting permissions. In that case, contact your company admin and explain which reports you need. Then, the admin can update your role or assign a new one. After that, you can open Absence → Reports and find the reports you need.
