Step 1: Find the timesheets waiting for you

When timesheets are waiting for your decision, a number badge appears next to Time > Timesheets in the left menu. On the Timesheets page, a banner says “You have … timesheet pending approval/rejection.”

Click Review now. Day Off applies the Awaiting my approval filter and sets the dates to cover the pending days, so you only see what needs your action.

Step 2: Review the timesheet

Click an employee’s name to open their timesheet. It shows a column per day with the daily total and a Total for the period. In Clock in / Clock out mode, you also see the Clock in, Clock out, and Breaks rows. Breaks show as a negative figure, such as “-0h 30m”, because they are taken off the worked time.

Days waiting for approval are highlighted in yellow.

Step 3: Approve timesheets

Back on the Timesheets page, tick the checkbox next to each employee you want to approve. The counter above the table shows how many are selected, and the header checkbox selects every row. Click Approve all.

Step 4: Reject timesheets with a reason

Tick the employees and click Reject all. Enter a reason. The employee sees it, so be specific, for example “Tuesday is missing the afternoon”.

Step 5: Undo a decision

If you approved or rejected a timesheet by mistake, you can undo the decision. The timesheet goes back to Pending, ready to review again.

Step 6: Correct submitted time

Employees can’t change time after submitting it, but the approver can. For a small mistake, correct the entry yourself instead of rejecting the whole timesheet. See how to add missing time or edit an entry.

Who Can Approve a Timesheet?

It depends on the Approval workflow your admin chose: the employee’s first approver, their second approver, or either one. Checkboxes are only active for timesheets you’re allowed to act on.

Being able to see a timesheet doesn’t mean you can approve it. What you see is controlled by the Time visibility setting.
