Step 1: Open Projects settings

Go to “Time tracking” in the left-hand menu, click “Settings,” then click the “Projects” card, described as the place to “create and organize projects linked to clients, monitor estimates, and track total hours spent.”

Step 2: Click “Add new”

On the Projects list page, click the pink “+ Add new” button in the top right. This opens the “Add new project” form.

Step 3: Fill in the fields

Project name is the main, required label for the project, this is what employees will see and select from the “Select project” dropdown when tracking time.

  • Project code is a short identifier for the project. It’s shown as a hashtag next to the project (for example “#SaleK”), useful for quickly referencing or distinguishing similar-sounding projects.

  • Client is a dropdown letting you link this project to one of your existing clients. Linking it means the project’s time and totals roll up under that client’s records, though this is optional, projects can also stand alone with no client attached.

  • Project color lets you pick a color swatch (or enter a custom hex code) that’s used as a small colored dot next to the project name throughout the app, helpful for visually telling projects apart at a glance in lists and dropdowns.

Step 4: Set the two toggles

Billable determines whether time logged to this project is marked as billable in reports (visible as the green/orange billable icon next to entries in the Reports section). It’s off by default when creating a new project, switch it on if this project’s hours should be counted as billable work.

Allow direct time log controls whether employees can track time against the project itself without picking a specific task. It’s on by default. If you turn it off, employees would need to select an actual task under that project before they can log time, useful if you want to force more granular, task-level tracking rather than generic project-level logging.

Step 5: Save

Click the pink “Save” button. The new project will then appear in your Projects list, with columns showing its linked client, total estimate (the sum of any task estimates you add later), total time spent, and status, and it will be immediately selectable in the Tracker’s “Select project” dropdown for employees.
