Step 1: Open the time tracking settings
Go to Settings & integrations > Settings > Time tracker configuration > General. The Set up Time tracking page holds every timesheet setting in one place.
These settings apply to the whole company, and they work the same whether you use Clock in / Clock out or Task tracker mode.
Step 2: Choose whether employees can edit their time
Under Time editing, pick one option:
- Can’t edit time: recorded entries are locked. Times come only from clocking in and out or from the timer.
- Can edit time: employees can correct their own entries and add missing time. Edits apply immediately.
Either way, employees can’t change time after they submit it.
Step 3: Choose who appears on the Timesheets page
Under Time visibility, choose which employees each person sees on the Timesheets page:
- Employee & subordinates: the person and the people who report to them.
- Team members: the people in their team.
- Locations: the people in their location.
- All company: everyone.
Step 4: Turn approval on or off
Under Required time approval, use the Require approval toggle.
- On: employees submit their timesheets, and the submitted time waits for an approver to approve or reject it.
- Off: there is no submission or approval step. Tracked time is simply recorded, and the employee, admins, and approvers can still view the timesheets.
Step 5: Choose the approval workflow
Under Approval workflow, decide who can act on submitted time. The approvers are the ones set on each employee’s profile.
- First approver only: the employee’s first approver approves, rejects, undoes, or edits the timesheet.
- Second approver only: the employee’s second approver does all of these.
- Any: either approver can act.
The workflow only matters when approval is turned on.
Step 6: Save your changes
Click Save at the bottom of the page. A “Time tracker updated successfully” message confirms it. Changes apply straight away. For example, timesheets that are already pending move to the new approver. Click Cancel to discard your changes.
Which Setup Is Right for Your Team?
If managers want to check hours before payroll, turn approval on and pick the workflow that matches who signs off on time. Choose Any when either approver may cover for the other.
If you only need a record of hours, turn approval off. Your team skips the submit step, and you can still review everyone’s time on the Timesheets page.
Timesheets are part of the Day Off Pro + Time tracker plan.
